Coordinate people, equipment and access while keeping disruption manageable.
Build the move plan
- Appoint one internal move lead and identify decision-makers for facilities, IT and communications.
- List furniture, archives, equipment and items requiring specialist handling or secure disposal.
- Check loading access, lifts, parking, building hours and contractor requirements at both sites.
- Agree the move sequence and identify services that must remain available throughout.
Prepare staff and suppliers
- Give teams clear packing and labelling instructions, with a destination plan for the new office.
- Notify customers, suppliers, insurers and service providers at the appropriate time.
- Plan telephone, broadband, IT shutdown, transport, testing and reconnection with the responsible specialists.
- Separate confidential records and equipment that require controlled access.
Label and protect
- Use a consistent room, floor or department code on furniture and every box.
- Back up important data before equipment is disconnected.
- Remove loose contents from desks and cabinets unless the removals team agrees otherwise.
- Photograph cable layouts where this will make reconnection easier.
Moving day and handover
- Keep a representative available at each site to answer questions and approve placement.
- Prioritise essential departments and equipment in the unloading sequence.
- Check the old premises, then record any missing or damaged item as soon as possible.
- Test key systems and confirm staff know the new access, safety and emergency arrangements.
